What Is Software Renewal?
By Christine James, Editor · Updated Nov 8, 2026 · 4 min read
A software renewal is the point when a subscription contract ends and either continues for another term or stops. Most SaaS contracts renew automatically unless the buyer gives notice before a set deadline, and the new term often comes with a new price.
How Does a Software Renewal Work?
Most business software is sold on a subscription model: you pay monthly or for a fixed term, usually one year. The contract says what happens at the end of that term.
- Auto-renewal: the contract continues for the same length unless you cancel in time.
- Notice window: the deadline to cancel or change, often 30 to 90 days before the end date.
- Price terms: whether the vendor can change the price at renewal, and by how much.
Read all three before the first year ends. Our guide to price increase notices explains how vendors announce changes.
Why Do Renewal Prices Go Up?
Vendors raise prices for plan changes, new bundled features, seat growth found in a true-up, or the end of a first-year discount. Some increases are small. Some are not.
One example from public posts: a Harvest customer reported a renewal going from about $3,000 to $30,000 a year, with about a month's notice. For comparison, Harvest's published pricing lists per-seat plans from $11 a month billed annually. A jump like that usually reflects a plan or contract change, which is why reading the renewal quote line by line matters.
Our Price Radar tracks sourced list price increases by company, so you can see whether your increase matches a public change.
When Should You Start Preparing?
Start about 90 days before the end date, earlier for large contracts. That leaves time to check usage, compare alternatives and still give notice if you decide to leave.
- 90 days out: confirm the end date, notice window and current seat count.
- 60 days out: ask for the renewal quote in writing and compare it with what teams report paying.
- 30 days out: decide, and send notice if you are switching or reducing seats.
Put the notice in writing, to the address the contract names, and keep the confirmation. A phone call or a chat with a sales rep is usually not formal notice, even if the rep agrees with you.
If the tool stays, use the same window to right-size it. Remove accounts for people who left, move light users to a cheaper plan if one exists, and ask whether a longer term buys a lower rate. Only agree to a multi-year term if you are confident the tool will still fit in two or three years.
Keep Paying, Switch or Build
Every renewal is a decision, even when it looks automatic. Many tools are worth renewing, especially ones tied to compliance, payments or a large user base.
For others, an AI-native alternative or a narrow custom build may cost less. The Build vs. Buy calculator compares a build with years of subscription cost. If you are leaving, our guide on how to cancel a SaaS contract covers notice letters, and early termination fees explains what leaving mid-term can cost.
Why It Matters to Software Buyers
Renewals are where software budgets grow quietly. A missed notice window locks in another full term at whatever price the vendor set.
A renewal list with owners and dates is the simplest control a finance team can add. A spend audit gives you reported benchmarks for each tool before those dates arrive.
How It Shows Up in Practice
The most common story is not a bad vendor. It is a contract nobody owned: usage fell, the notice window passed, and the renewal went through at a higher price.
The second most common is a price change bundled with a plan change. The vendor retires the old plan, moves customers to a new one, and the per-seat rate rises. Asking for the old and new plan side by side, in writing, is the fastest way to see what changed. Check the company's page, such as Salesforce, for what other teams report paying.

Frequently Asked Questions
What is a software renewal?
It is the end of a subscription term, when the contract either continues for another term or stops, often at a new price.
Do SaaS contracts renew automatically?
Most do, unless you give notice before the deadline in the contract, commonly 30 to 90 days before the end date.
How early should I prepare for a renewal?
About 90 days before the end date, so you have time to compare prices and still give notice.
Can I negotiate a renewal price?
Usually, yes. A written quote, current usage numbers and a reviewed alternative give you the most room.
What if I miss the notice window?
The contract typically renews for another full term. Ask the vendor about reducing seats or terms anyway, and set a reminder for next year.
