What Is SaaS Pricing Models?
Updated Oct 28, 2026 · 4 min read
SaaS pricing models are the ways software vendors charge for access, consumption or results. The main models are per seat, usage based, tiered, flat rate and outcome based, and a single contract can combine several of them.
How Do the Main SaaS Pricing Models Work?
Per-seat pricing charges for each licensed person, usually on a monthly or annual basis. Seat-based pricing and per-user pricing describe the same basic arrangement, but contracts can distinguish named users, active users and occasional collaborators. Ask which people need paid access before multiplying a headline price by headcount.
Tiered pricing groups features into packages, while flat-rate pricing charges one subscription amount for a defined scope. A flat fee does not necessarily mean unlimited use: check storage, support, workspace and transaction limits. Request a written list of exclusions so a simple starting price does not become an incomplete budget.
Usage-based pricing bills measured consumption, such as compute time or messages. Outcome-based pricing bills a defined result, such as an automated resolution. Neither label tells you whether a subscription minimum or an annual commitment applies.
Why It Matters to Software Buyers
The billing unit determines what makes your costs rise. Seats follow licensed access, consumption follows workload, and outcomes follow whatever the contract counts as success. Choose the unit your team can forecast and influence, not just the one with the smallest entry price.
A part-time user may need the same paid license as a daily user, while a tier upgrade may raise the price for everyone covered by that plan. Ask whether restricted or read-only access is available and whether an essential control requires a higher package. Test that requirement during procurement rather than after rollout.
We use published per-user monthly list prices for keep-versus-switch comparisons so companies can be compared in one unit. Your invoice can include other meters and negotiated terms, so use our Software Bloat Calculator with actual bills. Our methodology explains the comparison basis; a directory comparison is not a binding vendor quote.
How It Shows Up in Practice
Salesforce pricing and alternatives illustrate the combination of user licenses and feature packages. Its official sales pricing page lists suites with per-user billing and distinguishes billing terms. Compare the package that includes your required workflow, not a lower edition that cannot perform it.
AWS pricing and alternatives show why a vendor cannot always be assigned one pricing model. The official AWS pricing overview describes pay-as-you-go services alongside flat-rate options and commitment-based savings. Separate these components in your forecast rather than treating every cloud charge as flexible consumption.
These examples also show why the pricing page is only a starting point. Request the order form, included allowances, support scope and renewal terms for your configuration. Keep a dated copy of the offer so your finance team can reconcile the first bill against what was approved.
How Do You Compare Total Cost?
Start with the same business requirement for every option: required users, transactions, integrations, security controls and service expectations. Then calculate recurring fees, setup, migration, support and internal administration separately. Use annual contract value to normalize recurring commitments, but do not confuse it with the full cost of ownership.
- Model a normal month, a quiet month and a peak month using your own activity records.
- Ask each vendor to price the same scenarios, including overages, add-ons and minimum commitments.
- Identify who owns each billing driver and what action that person can take before spending increases.
A useful comparison includes the cost of leaving as well as the cost of starting. Data exports, replacement integrations and staff training contribute to switching costs. If an estimate depends on uncertain growth, show the assumption explicitly rather than presenting a single precise forecast.
What Should You Negotiate Before Signing?
Ask how additional licenses are charged, when usage is measured and whether the contract permits reductions. A true-up can reconcile added access without giving you the same right to remove unused capacity. Request the reduction window and notice deadline in writing.
For tiered plans, list the specific features that caused the upgrade and ask whether they can be bought separately. For consumption plans, request rate tables, included allowances and a billing export. For result-based plans, agree on evidence and dispute handling before allowing production traffic.
- Confirm the renewal uplift, cancellation notice and whether discounts expire.
- Specify which changes require approval and who may purchase additional capacity.
- Record whether alerts merely notify you or actually stop chargeable activity.
When Is Renting the Right Choice?
Renting can be the right call when the product already meets your needs and the vendor handles operations your team does not want to own. A predictable seat subscription can suit a stable team with frequent use. Consumption pricing can suit a smaller or variable workload when you can monitor its drivers.
A custom build does not inherently create a vendor seat bill, but it still needs hosting, maintenance, security and support. Use our Build vs. Buy Calculator to compare renting and owning over five years. Include the people and services needed to keep a build running, not just its initial delivery.
Our choices are Build it, Build part of it and Keep paying. A partial build may replace one expensive workflow while retaining a useful subscription. Define the work you need first, then select the commercial model that fits it.

Frequently Asked Questions
What Is Seat-Based Pricing?
It is a charge for each licensed user, usually monthly or annually. Check whether guests, inactive accounts and read-only users require paid licenses.
Is Tiered Pricing the Same as Per-User Pricing?
No. Tiers separate feature packages, while per-user pricing determines the billing unit; a product can use both.
Which SaaS Pricing Model Is Cheapest?
There is no universal winner. Compare actual access needs and workload across quiet, normal and peak periods, including minimums and add-ons.
Can a Flat-Rate Plan Have Extra Charges?
Yes. A fixed subscription can still have limits or separately billed services, so confirm exactly what the fee covers.
